Update #6:

This note serves as the bi-weekly update on the work associated with the move of IPS offices to the new building at 1610 University Avenue, in Knoxville. The committee discussions are captured in the SharePoint site at
https://utworks.tennessee.edu/ips/1610/SitePages/Home.aspx
.

In brief:

· The UT Police Department has completed an assessment of the building for security needs and issues. In a building walk-through we discussed lighting, landscaping, cameras and alarms, locks and the blue-light phones systems. We are coordinating this with UTK for implementation and adjustments. The IT Team is assessing and discussing how the video at the building should be monitored. OIT is exploring interim connectivity issues with AT&T, pending the final lines to serve the building to be developed in the next year.

· We have met with staff of the UT Foundation. As you know, the Foundation is moving into the building at 1525 University Ave., just down from our building. The Foundation will also probably occupy a small portion of the IPS offices, and we are coordinating the project to make this possible and optimal for us and for the Foundation.

· The planning team has provided a list of priority projects for the building to the building architect, and the architect has priced the improvements within the budget allocations of both MTAS and the central office.

· The Planning Team is also considering the inventory of cubicles and office furniture needed with the move.

· The groups moving with the Central Office (CIS, Central Office, Naifeh Center, CTAS and the Foundation) met on Thursday of this week to consider office designations on the second floor. We had a good discussion about some of the building advantages and disadvantages, and discussed the office needs of some of the teams making the move. Some of these included MTAS is meeting next week to the same for the first floor.

· The building has been open and available for staff visits and tours this week, and will be open again on Friday, June 13, between noon and 5 pm.

· The Logistics team is looking into the numbering of rooms and re-keying of internal and external locks. The team has also discussed adding a page or more on the SharePoint site listing furniture available for use by different offices.

· We are discussing how mail is to be received and distributed at the new building, and Frances Adams-O’Brien will work with Scott Gordy and the Planning and Logistics team to resolve this.

I will be out of the office for the next project update, and Gail White has offered to distribute the next update the week of June 27th.
